Terms and Conditions

Our agency, Responsible Trekking and Travel S.A.C. (Tax ID No. 20615740412), establishes the following terms and conditions governing our commercial relationship. By confirming your reservation, you agree to these terms, which are designed to ensure a transparent, safe, and professional operation throughout every stage of your journey.

Our extensive experience in travel and expedition operations allows us to anticipate your needs and ensure that your investment is protected under high standards of quality and professional ethics.

1. Social and Environmental Impact Commitment (2% Impact Fund)

We believe in a tourism model that fairly benefits both the people who make each experience possible and the environment that welcomes us. For this reason, we have implemented a direct-impact policy:

  • 2% for Our Team: This contribution is allocated entirely to performance bonuses and improved working conditions for our field staff, including operations personnel, guides, porters, and cooks, who are the foundation of our operation.
  • Conservation Support: Funds are invested in local trail-cleaning projects and ecosystem restoration initiatives within the trekking regions where we operate.

2. Booking Process and Payment Management

To ensure the successful execution of high-altitude expeditions, we follow a rigorous administrative process.

Documentation
A copy of a valid passport (minimum six months validity) is required. All information must be accurate for the issuance of permits and travel documentation.

Booking Deposit
A 100% refund window applies for:

  • 4 hours after purchase for Machu Picchu expeditions.
  • 2 days after purchase for all other destinations.

After these periods, the deposit becomes non-refundable and non-transferable without exception.

Final Balance Payment
The remaining balance must be paid at our office in Cusco no later than 24 hours before the tour departure. We accept cash, credit/debit cards (subject to processing fees), and digital payment methods (Yape/Plin).

3. Cancellation Policy and Travel Credit

Our policy is designed to balance the protection of your investment with operational commitments already in place.

  • Lifetime Travel Credit: In cases of documented medical emergencies, government-imposed restrictions, or force majeure reported more than 72 hours before departure, the initial deposit will not be lost. Instead, it will remain as a transferable travel credit for immediate family members with no expiration date.
  • Late Cancellations (Less Than 72 Hours): Any cancellation made within 72 hours of departure, or a failure to appear (No Show), will result in a 100% charge of the tour cost, as all operational arrangements will already have been deployed.
  • Day Tours: One-day excursions (excluding those that include Machu Picchu entrance tickets) may be rescheduled free of charge up to 48 hours before departure.

4. Force Majeure and Operational Safety

The safety of our travelers and staff is our highest priority. Due to the geographical nature of our operations:

  • We are not responsible for additional expenses or cancellations resulting from strikes, natural disasters, extreme weather conditions, border closures, or archaeological site closures ordered by government authorities.
  • In such circumstances, Responsible Trekking and Travel S.A.C. will propose alternative itineraries to provide a travel experience as close as possible to the original plan.

5. Traveler Responsibilities

To ensure a successful expedition, travelers agree to:

  1. Carry the original identification document used for the reservation at all times.
  2. Accurately disclose any medical conditions, allergies, or special dietary requirements.
  3. Obtain travel insurance that covers emergency medical evacuation and high-altitude adventure activities.
  4. Follow all technical and safety instructions provided by our professional guides.

6. Governing Law and Jurisdiction

Any dispute arising from services provided by Responsible Trekking and Travel S.A.C. shall be governed exclusively by the laws of the Republic of Peru. Both parties agree to submit to the jurisdiction of the competent courts of Cusco, Peru.
